Job Overview/Summary: The Human Resources Associate supports the Human Resources Partner team (8 persons) in the management and processing of HR transactions across the organization. He/she liaises with other HQ departments such as Finance and Payroll, Global Supply Chain and other Headquarters administrative staff as well as HR leads in country. The Assistant is a key member of the HR Partner team, and his/her support directly impacts IRC's ability to accurately manage the administrative processes of its workforce and maintain the engagement and trust of its employees.
Major Responsibilities:
  • Process all headquarters and international staff new hires, employee changes and terminations in an accurate and timely manner
  • Liaise pro-actively with HR Partners, HR Leads and Focal Points across the world to solve HR administrative issues
  • Develop and maintain records retention process which includes managing active and inactive employee files and support for storage of records
  • Coordinate logistics for HQ New Hire Orientation and actively participate in the development of the program
  • Provide general administrative support including word processing, compiling meeting materials, scanning, photocopying, filing, and maintaining team calendar
  • Review and approve internships request for Headquarters
  • Compile Headquarters and Europe monthly and quarterly metrics
  • Respond to a variety of 1st level HR-related inquiries from employees
  • Handle employment verification letters
  • Coordinate, prepare agenda and keep the minutes of the weekly HR Partner meeting
  • Prepare spreadsheets of moderate complexity
  • Pro-actively suggest process improvement to enhance the efficiency of HR admin processes
Job Requirements:
Education: Bachelor's degree
Work Experience: At least 3 years of experience in an administrative function, preferably HR, supporting multiple people
Demonstrated Skills and Competencies:
  • Proficiency in MS Word, Excel, PowerPoint, Outlook and email/internet
  • Exceptional judgment in maintaining confidentiality of employee information
  • Outstanding customer service as well as problem solving skills with a positive, "can-do" approach to work
  • Excellent interpersonal and communication skills and the ability to work effectively in a multi-cultural environment
  • Attention to detail, organizational and prioritization skills
  • Ability to work in fast-paced environment and handle a high volume of requests in an effective and timely manner
  • Ability to work in a complex, matrix environment with tight deadlines and evolving administrative processes
  • Experience in one of the following preferred: HRIS (Workday), Applicant Tracking Systems (Taleo) or implementing orientation programs
Language Skills: French a plus
