Program Assistant, Research Ethics Committee
The Research Ethics Committee team is currently seeking a Program Assistant. This will be located in Seattle.

End Date - TBD, assignment length is approximately 6 weeks.
Scope of Work:
  • Provide administrative support for the PATH Research Ethics Committee (REC), Co-Chairs, and staff. The REC is PATH's Institutional Review Board (IRB).
  • Coordinate the daily activities associated with the new research submissions, working closely with the IRB staff, co-chairs, and IRB member). Ensure timely intake, follow-up, and forwarding for review of all submissions via the online review system, IRBNet.
  • Maintain and manage the REC inbox.
  • Track IRB approvals that will be expiring, monitor notices of expiration to ensure all active research is re-approved before expiration in compliance with federal regulations.
  • Schedule and organize the Research Ethics Committee (REC) meetings; prepare meeting agendas; run draft expedited activity reports; prepare, copy, and distribute meeting packets; coordinate communications with REC members regarding meetings, review assignments, and scheduling; maintain meeting archive records.
  • Update, as needed, IRB office procedures and templates, forms, and job aids.
  • Maintain IRBNet libraries. Verify IRBNet data entry. Maintain and manage the IRB's electronic files and records.
  • Prepare IRB member appointment letters; maintain IRB membership files and attendance records.
  • Coordinate IRB authorization agreements (IAA) for signature, distribute signed agreements, file agreements and follow-up documents, update IRBNet data.
  • Coordinate IRB-related financial transactions, including honoraria payments to external committee members and Western IRB review invoices.
  • Facilitate communications between investigators and the IRB. Serve as resource to PATH staff and associates engaged in human subjects research on institutional policies and procedures pertaining to IRB review.
  • Prepare files for offsite archival storage; track location for retrieval purposes.
  • Order supplies, maintain subscriptions and memberships.
  • Assist with coordination of on-site visits to PATH's IRB.
  • Build awareness of developments in the IRB field and current best practices by reviewing newsletters, articles, and other publications, and attending conferences.
  • Serve as a team member to undertake additional tasks as needed.
  • Organize and create agenda for weekly REC staff check-in meetings.
  • Timely intake and processing of RDC applications.
  • Act as a liaison between study teams and the committee.
  • Enter records and manage data in the RDC database.
  • Manage the RDC inbox and electronic files.
  • Send determinations promptly to meet RDC turnaround goals.
  • Run monthly report of RDC volume and turnaround time and create PowerPoint slides for the RDC chair each month.
Required Skills
  • Demonstrated ability to execute administrative tasks with excellent attention to detail.
  • Proven effectiveness in supporting staff and interacting with staff.
  • Proficiency in MS Outlook, Word, & PowerPoint required.
  • Excellent written, verbal, and interpersonal communication skills.
